This Privacy Policy explains how Staylo ("Staylo," "we," "us," or "our") collects, uses, discloses, stores, and protects personal information when you use our website, applications, and services (collectively, the "Service").

If you do not agree with this Privacy Policy, please do not use the Service.

1. Information We Collect

Waitlist (pre-launch): If you sign up for the Staylo waitlist, we collect only your email address so we can notify you when the Service officially launches. We do not use waitlist emails for any other purpose. If you send us any booking confirmation email(s) before the official launch, we will delete them and will not store or process them beyond what is necessary to delete them.

A. Information you provide

  • Account information: email address and username
  • Booking confirmation emails you forward to Staylo and the information contained in them
  • Customer support communications

B. Booking data we may extract from forwarded emails

  • Hotel name and location
  • Check-in and check-out dates
  • Room type or rate plan (if present)
  • Price and currency (if present)
  • Cancellation/refund terms (if present)
  • Booking provider and confirmation identifiers (if present)

Limited Data Extraction Principle

When users forward booking confirmation emails to Staylo, we extract only the information reasonably necessary to provide the Service. This generally includes booking details such as hotel name, location, check-in and check-out dates, room or rate type (if present), price and currency (if present), cancellation terms (if present), booking provider, and confirmation identifiers.

We do not intentionally collect, use, or store personal information contained in booking emails that is not necessary for providing the Service.

C. Payment information

Payments are processed by a third-party payment processor (Stripe). We do not store full payment card numbers. We may receive and store limited payment-related information (e.g., billing status, card brand/last four digits, subscription status) from our payment processors.

D. Information collected automatically

  • IP address, device type, browser type, and operating system
  • Usage data (pages viewed, actions taken, timestamps)
  • Cookies and similar technologies (see Section 9)

2. How We Use Information

We use personal information to:

  • Create and administer your account
  • Parse booking confirmations and maintain your stays list
  • Monitor prices and generate alerts
  • Send service communications (alerts, billing notices, security notices)
  • Provide customer support
  • Detect, prevent, and investigate fraud, abuse, and security incidents
  • Improve, troubleshoot, and maintain the Service
  • Comply with legal obligations and enforce our agreements

3. Consent

Where required by applicable law, including the privacy legislation from the province where Staylo is incorporated, we obtain consent to collect, use, and disclose personal information. By creating an account, using the Service, or forwarding booking confirmation emails, you consent to the collection and processing described in this Privacy Policy. Forwarding booking confirmation emails to Staylo (including by sending emails to forward@savewithstaylo.com) constitutes consent for Staylo to process those emails and extract booking information as described in this Privacy Policy.

You may withdraw consent at any time, subject to legal and contractual restrictions. Withdrawing consent may limit or prevent us from providing the Service, including price monitoring and alerts.

4. Automated Processing and Profiling

Staylo uses automated systems and algorithms to parse booking confirmation emails, extract booking details, monitor publicly available pricing information, and generate alerts. These processes are performed primarily without human intervention.

These automated processes are used solely to provide the Service and do not produce legal effects or similarly significant impacts on users. If you have questions about how automated processing affects your personal information, you may contact the Privacy Officer.

We may also use analytics tools to understand how users interact with the Service in order to improve functionality and performance. You may disable certain tracking technologies through your browser settings, subject to functional limitations of the Service.

5. Communications (Email and SMS/Text)

We may send you communications related to the Service, including price alerts, account updates, billing notices, and security messages.

SMS/Text: If you provide a phone number, you consent to receive SMS/text messages related to the Service at that number. Message frequency varies. Standard message and data rates may apply depending on your carrier and plan.

Opt-out: You can opt out of SMS by following the instructions in the message (e.g., replying STOP) or by contacting support. You can opt out of non-essential emails using an unsubscribe link when available. Even if you opt out of marketing communications, we may still send essential transactional communications (e.g., billing, security, and service messages).

6. How We Share Information

We do not sell your personal information. We may share personal information with:

  • Service providers who help us operate the Service (e.g., hosting, analytics, email/SMS delivery, customer support tools, payment processors). They may access personal information only to perform services for us and are required to protect it.
  • Legal and safety recipients when required by law or when we believe disclosure is necessary to protect rights, safety, and the integrity of the Service.
  • Successors in the event of a corporate transaction (merger, acquisition, financing, or sale of assets), subject to appropriate safeguards.

7. International Transfers and Cross-Border Processing

Staylo is based in Quebec, Canada, but we may use service providers that process information in other jurisdictions. As a result, your personal information may be transferred to and processed in countries other than your country of residence, which may have different data protection laws.

We take reasonable steps designed to ensure that personal information remains protected when processed by us or our service providers, including contractual and security safeguards appropriate to the sensitivity of the information.

8. Retention and Destruction

We retain personal information only as long as necessary to fulfill the purposes described in this Privacy Policy, including providing the Service, maintaining business records, complying with legal obligations, and resolving disputes. Account information, including booking details and extracted booking data, is retained while your account remains active and will be deleted or anonymized upon account deletion. Billing and transaction records may be retained as required by tax and accounting laws.

When personal information is no longer required, we take reasonable steps to destroy, delete, or anonymize it in accordance with our retention practices and applicable law.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against loss, theft, misuse, unauthorized access, disclosure, alteration, or destruction.

Safeguards include secure hosting environments, encryption in transit, access controls, and limited access to personal information by authorized personnel who require access to perform their duties.

No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.

10. Cookies and Similar Technologies

We may use cookies and similar technologies to operate the Service, remember preferences, keep you signed in, and understand usage to improve performance. You can adjust cookie settings through your browser. Disabling cookies may affect certain features.

We may also decline requests where permitted by law (for example, where fulfilling a request would conflict with legal obligations).

You may contact us to exercise these rights, and you may also file a complaint with the Commission d'accès à l'information du Québec if you are not satisfied with our response.

12. Children

The Service is not intended for individuals under 18 (or the age of majority where they live). We do not knowingly collect personal information from children.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version and revise the "Last updated" date. If changes are material, we may provide additional notice as required by law.
